For your protection

Please read our terms and conditions carefully. These have been written in an easy to understand format so that you can fully understand. it is essential that you do read the booking conditions so that there are no nasty surprises on the day.

Your contract

These are the standard Booking Conditions for UK Tour Bus and Campervan Tours, part of International Friend Ltd, Registered in England No. 4514724. The registered address is Unit C, Ronald Rolph Court, Wadloes Road, Cambridge, CB5 8PX, England, UK

These Booking Conditions and any other written information brought to your attention before we confirmed your booking, form the basis of your contract with International Friends Ltd trading as "Campervan Tours" and "UK Tour Bus" In these Booking Conditions we will refer to Campervan Tours or as ("we", "us" or “Owner").

Please read these booking conditions carefully as they set out your respective rights and obligations. In these Booking Conditions references to "you" and "your" or “hirer” include the first named person on the booking and all persons on whose behalf a booking is made or any other person to whom a booking is added or transferred.   

“Driver” means the named Driver(s) insured to drive the Vehicle. In the case of business rental this Agreement is entered into by the Driver for and on behalf of the Hirer.

“Rental Period” means the period from the day of collection until the day of return inclusive. Collection and return days are charged at the full daily rate.  The times and dates of the Rental Period must be strictly adhered to.

By making a booking, the first named person on the booking agrees on behalf of all persons detailed on the booking that:-

  1. He/she has read these terms and conditions and has the authority to and does agree to be bound by them;
  2. He/she consents to our use of information in accordance with our Privacy Policy;
  3. He/she is over 18 years of age and where placing an order for services with age restrictions declares that he/she and all members of the party are of the appropriate age to purchase those services.
  4. Accepts that English Law and Jurisdiction applies to all bookings made with Campervan Tours

International Bookings

By making a booking with us or one of our agents, you accept that English Law and Jurisdiction shall apply. In no circumstances shall the laws and jurisdiction of any country other than England apply.

Statment of liability

I agree that for the duration of the hire, I will be liable as the owner of the vehicle , or any replacement vehicle, for any fixed penalty offence or parking charge for that vehicle under s66 Road Traffic Act 1988 and Schedule 6 Road Traffic Act 1991 or any other road offences.

Booking Procedure and Payment

A confirmed booking is made with us when you or your travel agent informs us that you would like to accept our written or verbal offer and that you pay us a deposit or full payment and we then issue you with written booking confirmation. As soon as we have issued you with a booking confirmation, a binding contract will come into existence.

  1. For bookings made 57 days or more from the hire commencement date, a deposit of £200 GBP per campervan/motorhome hire booking is payable and/or £50 per person per escorted tour booking and your remaining balance will be payable at 56 days prior to to the hire commencing. If you are only booking a tour without any campervan/motorhome hire included then only the tour booking deposit of £50 shall be due. If you are purchasing our route planned tour service, full payment is due at the time of booking plus any campervan/motorhome hire deposit.
  2. For bookings made within 56 days or less of the hire commencement date, the full amount of your hire/tour shall be payable
    If your balance payment has not been or if funds have not cleared into our account, we may treat your booking as cancelled by you with no further refunds payable by us.

Accuracy

We will always try to make sure that all of the information that we provide is accurate. Sometimes errors can occur. If and when this happens, we reserve the right to correct the information accordingly. You must check the price and other details relating to the arrangements you are intending to make prior to confirming your booking.

Pricing

Our prices are inclusive of the items listed on your itinerary page.  We do not include entry to visitor attractions, or other such items.

There is a range of extras that you can pay for to enhance your hire experience or extend the range. These include but are not limited to:

  1. Insurance surcharges  - specific to the driver and destination
  2. Additional driver(s)
  3. Continental Travel - ensures vehicle has correct breakdown cover in permitted European countries
  4. Republic of Ireland Travel - ensures vehicle has correct insurance and breakdown cover in Ireland
  5. Pre-paid end of hire toilet cleaning - if you don't want to return the toilet empty and clean then we will clean it for you
  6. Bedding sets

It is our right to amend the price of  unsold capacity or other products at any time. All of the above hire extras should be paid for together with the final balance and in any event prior to the commencement date of the hire period. For practical reasons, extras that have not been requested in advance may not be available at the time collecting the vehicle and will not be guaranteed unless they have been agreed by us in writing and as part of your booking.

Changes by you

If you would like to change any part of your confirmed booking with us, you must inform us or your agent in writing as soon as possible. This should be done by the person who has made the booking. Any change will be subject to your requested change being available.  Each change made will incur a an amendment charge of £50 plus or minus any applicable price difference for the new arrangements.  If you make a change within 56 days of your hire date you may need to pay the cancellation charges set out below.

Cancellation by you

If you need to cancel your booking, you must notify us of your intention to cancel. We can be notified by email or telephone but we must be contacted. The day that we receive your notification will be the day that your booking is cancelled. Cancellation charges, as set out below will apply:

Cancellation or changes by us

On very rare occasions we may need to make changes to your booking arrangements, as we reserve vehicles and other essential components of your hire/tour many months in advance. If we need to make a significant change such as to a vehicle of a lower standard, we will refund any price difference or give you the option of cancelling your hire booking with a full refund. If we need to offer you a higher grade vehicle than what you have booked, we will not charge you the additional price but you will not be entitled to cancel your booking without incurring the applicable cancellation charge based on the price that you have already paid.

If we do need to notify you of a change, as outlined by us you must notify us of your decision within a reasonable time. If you do not notify us, we will assume that you willing to proceed with your booking as amended by us.

In the extremely unlikely event of us cancelling your booking, for reasons outside of our reasonable control, will be liable to give you a full refund of any monies paid to us. We will not be liable for any other costs incurred by you, which do not form part of this contract.

Force Majeure

We shall not be liable for or will not pay you compensation for if our contractual obligations are affected by any event that we or our suppliers could not with all due care foresee or avoid. These evens include but are not limited to : riot, war, government action, war, threat of war, civil strife, terrorist activity and its consequences or threat of such activity, industrial disputes such as strikes, natural or nuclear disaster, fire, chemical or biological disaster, adverse weather and all similar events that our outside our control. Advice from the British Foreign or Home Office to avoid or leave a particular area or country may constitute Force Majeure and we shall diligently follow their advice and base our decisions upon such advice.

Furthermore, in the unlikely event a vehicle not being available due to circumstances beyond our control (such as breakdown/accident) we reserve the right to provide you with an alternative substitute vehicle which is similar to the vehicle that you hired from us. If we are are unable to provide a substitute vehicle for any reason, our liability shall be limited to the refund of any services that you have booked and paid for with us.

Special Requests

If you have a special request, you must notify us at the time of making your booking so that we can advise if we are able to cater for your request. If you advise us after we have confirmed your booking we cannot guarantee that we can meet your request. If we are unable to meet your request and you would like to cancel or change your booking you will need to pay the appropriate amendment fees or cancellation charges as set out above.

Disabled and Medical Requests

We are not a specialised company that caters for disabled people or people with acute medical conditions. If you do have a disability or medical condition, please notify us before asking us to confirm your booking. If we can help, we will but if we cannot provide the level of service that you may require we will also inform you beforehand. Failure to notify us will result in you incurring the applicable amendment and cancellation charges set out above.

Complaints

If you have a problem with your hire vehicle, you should contact us immediately (or as soon as is practical) so that we have the opportunity of remedying the problem with minimum impact to your enjoyment.  In the event that we are unable to resolve your complaint on the spot, you must write to us at info@campervantours.com within 28 days of your hire ending date. Please provide all relevant information including details of your problem and your booking reference.  We regret that we cannot accept liability for any claims which are not notified to us within this time limit.

Behavior and Damage

You and your party are expected to conduct yourselves in an orderly and acceptable way. If you or your party cause non-motoring associated damage to either the motorhome or property of a third party, you will be liable for the full costs of repairing the damage. Any costs associated with the vehicle that you have hired will be deducted from your deposit. If the costs are higher than your deposit you will be required to pay the full amount of the damage.

Single Sex Groups

We do not offer hire to single sex groups of more than 3 people of the same sex (i.e. 4 or more male or female groups).

Festival Hire

We do not offer hire to festivals from our Heathrow depot. Other depots are offered subject to availability.


Vehicle Tracking

All of our vehicles are fitted with tracking devices in order that our assets can be monitored for security (loss or theft) and driver behavior (speeding, harsh acceleration). In the event that our assets are abused, we may use this data as evidence to verify any incidents, which breach our terms & conditions or the law as regards speeding or dangerous driving.

Security Deposit

A refundable security deposit  per vehicle is payable upon collection. We will require a credit card or cash deposit of  between £750 and £1250. We would only use this in the event damage such as for breakages and for general damage to the vehicle and its fittings.  Campervan Tours does not collect the security deposits for our contracted suppliers. In these instances your security deposit will be payable to our contracted supplier.

We will only confirm your booking once we know that you or a member of your party is able to be covered on our insurance. 

Note that damage above 1.8 meters high is not insurable and you will be responsible fo the full cost of any repair or replacement (like-for-like).

Campervan/Motorhome Drivers

If you are hiring a campervan or motorhome from us, the vehicle driver must be aged between 25 and 75 years old to be insured on our standard policy. If you fall outside this age band, please contact us so that we can refer your details to our insurance company.

Driving Licence 

We will only permit you to drive once we have received copies of your driving licence. A final driving licence check will be made upon commencemnt of any hire and we reserve the right to treat any hire booking as cancelled by you if your licence no longer permits you to drive. If you have incurred additional penalty points since making your booking, we reserve the right to pass on any additional charges imposed by our insurance company or to treat your booking as cancelled by you if the insurance company is no longer able to provide cover due to changes in your licence status from what what initially declared. 

Collecting your motorhome/campervan

You may collect your campervan/motorhome between 10am and 5pm. 

Pre and post hire inspection and post hire charges

At the time of collecting your motorhome/campervan, a pre-hire inspection will take place and a pre-hire form will be completed. If there is any pre-existing damage, this will be shown on the pre hire collection form so that you are not liable for the damage. At the end of your hire your vehicle will be inspected and the post hire form will be completed. Any charges relating to the motorhome/campervan not being returned on time and in the same condition as it was when the pre-hire form was completed are set out in our Post Hire Charges
